To Chairpersons and Presenters

Guidelines for Chairpersons

  1. Please come to the first floor in SONIC CITY HALL lobby (chairperson receipt) on the morning of your session.
  2. Chairpersons should take a seat in the front row of the room specially reserved for the next session's chair, at least 15 minutes prior to the start of your session.
  3. We request for your cooperation to ensure that your session proceeds according to the prescribed time schedule.
  4. The chairperson should proceed to the question and answer only in English excluding in Japanese use applicant.

Guidelines for Oral Presentation

1) Announcement in President session, Special session, and Symposium, round-table and forum.

  • We inform presentation times of you beforehand.
  • At 1minute before the end of your presentation a warning light will appear, and at the end of the presentation time the light will turn red.

2) Oral Presentation announcement

  • All oral presentaions are done in English excluding in Japanese use applicant.
  • Oral session is total 12 minutes ( 8 minutes presentation + 4 minutes discussion) .
  • At 1minute before the end of your presentation a warning light will appear, and at the end of the presentation time the light will turn red.

3) Presentation Format

  • Only presentation using a PC are acceptable.
  • Please bring your own PC to make your presentation, and the back-up data or your presentation data(USB flash memory or CD-ROM).
  • Please consider it to end in your presentation time though there is no limitation in the number of your Power Point presentation.
  • During your presentation, you will be able to view your presentation via a monitor located on the podium.
  • Page changes are controlled using a USB mouse. Use the mouse to proceed to the next page.
  • Speakers should take a seat in the front row of the room specially reserved for the next speaker, at least 15 minutes prior to your presentation time.

4) PC Preview Desk

  • Speakers are required to upload their presentation at the PC Preview Desk at least 30 minutes before the start of the presentation.
  • Please bring your presentation data(on your PC,USB flash memory or CD-ROM) to the PC Preview Desk.

  • After it accepts at the preview desk, we will keep the presentation data in the place. Please have PC in the operator seat (podium side) in your presentation hall in yourself. After the presentation ends, I will return it in the operator seat.

5)Presentation Format

[Please ensure that your presentation will function on the specifications given below. ]

  • OS: Only Windows
  • Record media: USB flash memory or CD-R (name of the speaker in the file name).
  • Software: Power Point 2003/2007
  • Font: Standard Fonts for Windows Computers (MS/MSP Gothic, MS/MSP Ming-style type, Times New Roman, Century, and Arial)
  • The LCD Projectors will support XGA (1024 x 768 pixels), SVGA (800 x 600 pixels), and VGA (640 x 400 pixels).
  • Your power point presentation includes moving images(excluding Power Point animation) or You wish to use a Macintosh.

[Using your own PC ]

  • The speaker's laptop computer must be equipped with a D-Sub 15-pin output, a standard monitor terminal.
  • Don't use sound effects.
  • Turn off any sleep functions and screensavers.
  • Please bring all required connection cables for your own PC.
  • Please bring your own PC to make your presentation, and the back-up data.

Guidelines for Poster Presentations

  • All poster sessions will be in the 1 Exhibition Hall of underground and the 2-5 Exhibition Hall.

  • The JSSX have "Best Poster Prize". Theme for the final selection is selected by the "Best Poster Prize" selection committee from all poster presentations.
  • The "Best Poster Prize" selection committee will interview Finalist at poster presentation time on the morning or of the afternoon in the first day of the 25th JSSX Annual Meeting, and elect three high-ranking themes as The "Best Poster Award".
  • The "Best Poster Award" winner will do the ceremony and is given the certificate and the extra prize in Main Hall before The "Best Poster Prize" session at the second day (10/8) of the 25th JSSX Annual Meeting.

1)Reception

Please come to "Poster reception" in front of each hall of the underground Exhibition Hall.
The thumbtack necessary for sticking also has the business mind in that.

2)Poster Presentations Time

Please wait in front of your own poster panel at the Presentation time and wear the ribbon provided on their poster panel.

3)Poster Presentation method

Poster Presenter can do the presentation in front of your own poster panel at the designated Presentation time.
Poster Presenter can use Japanese at the poster presentation discussion.

4) Poster Set up and Removing time

  • October 7(Thu)

      -Any poster left after the scheduled removal time will be disposed of by the Secretariat.

5)Poster Preparation Instructions

  • Please make the poster manuscript in English.
  • The poster panel is 210cm high and 120cm wide; posters must fit within this space.
  • The area to display the title, name and affiliation of the presenter is 15cm high and 99cm wide, and is to be provided by the presenter.
  • The printed number identifying each poster(15cm high and 21 wide) will be provided by the Secretariat.
  • The display space is 195cm high and 120cm wide.
  • Please use the push pins to attach material. Push pins will be provided by the Secretariat.
  • The ribbon will be prepared as Poster Presenter's sign.

6)Title name and Poster Presenter's changes

  • The change in the Title name is not admitted.
  • Please contact the secretariat promptly when poster presentation's withdrawal or the change of the Poster Presenter is caused.
